Set Up Store and Warehouse Locations
In this process, you will be setting up the store and warehouse locations.
Before creating the product list, it is recommended to set up your store and locations in order to specify the default location source and update the stock quantity of each item in each location.
Connected Business has pre-created one “MAIN” location that you can modify or add to.
At the end of this session, users will set up the product locations, zones down to each bin locations.
Modify Default Location or Create New Location
Locations may refer to either a store or retail outlet where products are kept on display and sold, chain stores where various services may be provided, or a warehouse or storage area where products are kept.
Modify the Default “MAIN” Location
To modify the main location,
- Connected Business includes a default "Main" location assigned to various other records in the application e.g class templates. You will only need to modify the details of the MAIN location if you do not want to create and re-assign the default location.
- To modify the default, go to the Inventory Module > Location > Find Location. Select the “MAIN” location from the list to bring up the Location form.
- You will find that the Main location is pre-created with the same information e.g. address and primary contact as your company. Edit the information as you need.
- You may optionally add contact information, add notes or documents.
- Save the details you modified.
Create New Location
To create a new location,
- Connected Business provides an option to create an unlimited number of locations, provides a full view of the stock infomraiton for each location and provides the option to ship from multiple locations.
- To create a new location, go to the Inventory Module > Location > New Location to bring up the Location form.
- You will find that the information e.g. address and primary contact you provided in your company profile is copied onto the new location.
- Provide the location code and description (e.g. Outlet Store – Culver City).
- Check the active checkbox to include the location in the options.
- You may optionally add contact information, add notes or documents.
Define Bin Locations
Bin Locations may refer to 1) storage bins placed in shelves 2) palettes 3) lot area within the location. Bin information is used to quickly determine the container for an item e.g. parts or components of an assembly package.
Define Bin Locations
- There are two ways to define new bin locations:
- Through the New Item Wizard as you create items.
- Through the Bin Location Wizard as you assign items to bin locations.
- Let’s simulate creating a new item and indicate bin locations for it. Go to Inventory Module > Item > New Item. The New Item Wizard will display.
Creating a new item will be discussed in the Setup Product and Services List section.
- Provide the general item information. Click Next to go to the next page.
- Select the location from the list (e.g. MAIN).
- Then, select the location zone from the list e.g. Normal location. Below is a list of zones within the location and their purpose.
Zone Zone Code Zone Description Purpose Zone 1 Normal Actual area for all normal stock. Zone 2 Receiving Actual area where all received stock is initially placed. Zone 3 Dispatch Actual area where all items for storing items for delivery. Zone 4 Defective Actual area for storing damaged stock. Stock can be manually transferred to and from this area. Zone 5 Repair Actual area for storing items for repair. Stock can be manually transferred to and from this area. Zone 6 Scrap Actual area where all scrapped items are stored. Stock can be manually transferred to this area. Zone 7 In Transit Virtual area where all items tagged as “In Transit” are tracked. Zone 8 Dropship Virtual area where all items for dropship are tracked. Zone 9 Return to Supplier Virtual area where all items returned to the supplier are tracked.
- For this example, we will define bin locations for the Normal location. On the Bin column, simply type in the bin name. Bin codes can be anything you used to recognize the storage box e.g. Box 20 or in any format as long as it makes it easy to recognize the exact bin you are referring to. Let’s say we have 3 aisles in our storage location. Each aisle passes through 2 divided racks that have 3 shelves on both sides. On each shelf, we have one or more boxes or containers that we call bins. Below is an example of how bin codes are created:
- Locations – L1 (MAIN), L2 (Outlet)
- Aisles – A1, A2, A3
- Racks – RA1, RB1, RA2, RB2
- Shelves – S01, S02
- Bins – B01, B02, B03
- Bin Code =L1A1R2S01B03
- Locations – L1 (MAIN), L2 (Outlet)
- You will be asked to add the new bin location. Choose Yes to add the bin location.
- Keep adding bin locations to the current zone, then re-arrange them by:
- Specifying the order number.
- Clicking on the Up and Down arrows.
- Continue adding bin locations to other zones.
Assign Items to Bin Locations
This task is for those who want to skip assigning bin locations from item creation or those who will import most of the items in their product list.
This is also for those who want to filter items to place in bin locations e.g. items of the same type or size.
- Let’s say you skipped assigning bin locations from the New Item Wizard or imported your item list. Now you want to assign bin locations to your items but didn’t want to open each of your records. For this, you can use the Bin Location Wizard to filter items and assign bin locations to them.
- Go to Inventory Module > Location > Bin Location Wizard.
- In the first page of the Bin Location Wizard, you will be asked to filter items you will assign. Select a location first to filter items by location.
- You are given an option to select items by attribute or zone. If filtering items by attribute, select an item attribute e.g. Item Type in the Display Name column and select the item type e.g. Stock Item in the Value/From column.
- On the next page, you will find the items listed in the left section. Select an item in the list and start adding bin locations to the location zones. Select from the list or type in the bin code. If a bin code is not found, you will be asked to add it as a new bin code. Choose Yes to add.
- Keep adding bin codes to other zones. When done, select another item in the list to assign bin locations to.
- When done, go to the last page of the wizard and click Finish to exit.
