Overview

In this process, you will be maintaining details for leads and prospects. Leads are the likely people or organizations that you have information of and that are yet to look into the products or services you are offering. Prospects are the potential customers or the people who are likely to buy products or acquire services.

You can easily add lead or prospect details through the New Lead or New Prospect option of the CRM module or through the Import Manager. At the end of this session, users will be able to collect, record and update whenever there are changes on the information of the leads.

Manage Leads

Creating and managing leads are two of the most important stages in the sales process. Both of them are of equal important since getting and updating new information from a target lead and current lead is a great opportunity to be ahead of the competition.

 

Create New Leads

  • To create new leads individually, refer to Create Leads Through the Lead Form.
  • You can also use the Import Manager to import your existing list of leads. See Also: Importing Records

 

Qualify and Convert Leads to Prospects or Customer

The next step after completing the details of the lead in your CRM account is the qualification of the lead. If the lead is satisfied and is willing to buy your product, he or she may be qualified and then be converted to a prospect or customer. Otherwise, if a lead is unsatisfied with your product, you may disqualify the lead.

STEPS

  1. From the CRM module, click Find Leads > select a lead on the Active Leads tab. The Lead Detailform will then display.
  2. From the Lead detail form, click the Convert Lead button. The Convert Lead Options window will display.
  3. Select whether to convert into Prospect or Customer. You may also create an opportunity record for the lead by clicking on the Generate Opportunity option.
  4. Select a Business Type to set default class template. The default class template will provide default details to the customer’s primary information previewed in the Customer and Ship To tabs. You may select another class template or modify the details in the fields.
  5. You may also enter your preferred customer code or leave it as [to be generated] and Connected Business will generate it for you.
  6. Click on the OK button to convert the lead. The Prospect or Customerdetail form will display afterwards.

 

Maintaining Lead Details

Maintain information on leads to be able to keep up to date of their CRM needs. Depending upon the requirement of the users, Connected Business can cater the needs for B2B(Business to Business) and B2C(Business to Customer) industry.

STEPS

  1. Go to the CRM module; select Find Leads under the Lead menu option. A search screen of active and inactive leads is displayed.
  2. Select the lead record in the list to maintain. The Lead detail form will display. Manage Lead Emails From the Email tab of the Lead detail form, you will be able to view sent and received emails and compose new.   3. Modify the details as necessary and save before closing the form.

 

Disqualify Leads

A lead can be disqualified if he she is not satisfied with your product.

STEPS

  1. Go to Find Lead under the Lead menu of the CRM module. A search list of active and inactive leads will display. Select the lead record to display the Lead detail form. If you want to stop following up on this lead, you may use the Disqualify Lead button option from the menu. Alternately, you may also click on the Disqualify Lead from the Convert Lead button from the menu.
  2. Once disqualified, the Lead will be set to “inactive” and will be recorded in the Inactive Lead list. Even so, you may still convert the lead into prospect or customer by clicking on the Qualify button from the menu.

Tagging a Lead to One of Your Webstores

  1. You can modify the Lead information from the CRM Module to include information about the webstore you want to tag it to (i.e to map and organize several specific Lead information to your webstores where the Lead information was submitted from).
  2. From the CRM Module > Leads > Find Leads
  3. The Leads list form will be displayed. From here you can select specific Lead information you want to modify.
  4. Double-click on a Lead entry to display the Lead information form.
  5. From here you can click on the Website Code dropdown list to select from your existing webstores.
  6. You can also double-click on the Website Code to display the Webstore information form. From there you can modify your webstore information.
  7. Your default webstore will be automatically set on the Website Code field. To toggle this, from the eCommerce Module > Web Store.
  8. The Webstore list screen will be displayed. Enable or disable the default setting of your webstore/s by checking or unchecking the checkbox under the Default column.

 

Manage Prospects

Create New Prospect Details

 

STEPS

  1. To create a prospect individually, go to the CRM or Customer module. Select New Prospect under the Prospect menu option. The New Prospect Wizard will display.

Maintain Prospect Information

STEPS

  1. Go to the CRM or Customer module; select Find Prospect under the Prospect drop down list. A search screen of active and inactive prospects is displayed.
  2. Select the prospect record in the list to maintain. The Prospect detail form will display.
  3. Modify the details as necessary and save before closing the form. See Also: Edit/Maintain Prospect Information from the Customer Module

 

Convert Prospects to Customers

STEPS

  • From the Prospect detail form, click the Convert to Customerbutton. Alternately, you can convert prospects to customers by converting a prospect quote into a sales order or creating a new sales order. The Prospect file will be automatically converted into a Customer file.

Create a Target List of Prospects

  • Create a target list of prospects enable the users to simplify their jobs in getting potential customers to buy your services or products.
