Maintain Purchase Requisitions

 

This section discusses how to manage Purchase Requisitions such as converting it into a Purchase Order, void the document, print or sending a copy to supplier or contacts and viewing the details and information of the transactions related to the supplier.

 

 

 

 


Steps

Note that only open purchase quotes may be edited.

  1. From the Supplier module, select Requisition > Find PO Requisition. A search list of open and converted requisitions will display.
  2. Select the requisition record in the list to display the Requisition form.
  3. Edit the details as necessary and save again before closing the form.

Convert the PO Requisition to Purchase Order

  1. Select PO Requisition under the Find menu of the Supplier Module. A search screen of requisitions will display.
  2. Select the requisition in the list to display the Requisition form.
  3. Click on the Convert to Order from the menu to convert the requisition to purchase order.

 


Void the Purchase Requisition

  1. Go to Supplier module, select Requisition > Find PO Requisition. A search screen of open and converted requisitions will display.
  2. Select a requisition in the list to display the Requisition form.
  3. Click Void button from the menu to cancel the requisition.

Print PO Requisition Documents

  1. From the Requisition form, click on the Print button from the toolbar menu to display the Print Dialog window.
  2. Select the printing Destination and configure your printing preferences before printing.

 


Send Requisition to Supplier or Contacts

  1. From the Requisition form, click on the Print button from the toolbar menu to display the Print Dialog window.
  2. Select Email or Fax as the printing destination. You may change the default message in the Email or Fax tab.
  3. The supplier’s default contact email will appear in the Email Address field and/or fax number in the Fax Number field. If there is no email address or fax number setup for the default contact, then the supplier’s primary email or fax number is used.
  4. Click on the Print button to attempt sending the report through email or fax.

Turn Off Filtering of Products by Supplier

  1. Select Preferences under the Setup menu of the Supplier Module. The Preferences form will display.
  2. Untick the Filter items according to supplier option to disable filtering of products by suppliers.
  3. Click Ok to close the Preferences form.

 



View the Supplier Details and Transaction History

To view the supplier details,

  1. From the menu of the Requisition form, click on the Supplier Details button from the toolbar menu to display the Supplier detail form and review the supplier information.

To view the supplier transaction history,

  1. From the Requisition form, click on the Supplier History tab to view the history of the transactions with the supplier.
