Use Credit Card Reference Number for Refund

The Credit Card Reference Number is used for associating the correct credit card payment to refund, in the event that a customer returns the items that they purchased and requests for a refund due to factory defects, incorrect items, etc. A reference number is generated when a credit card payment is made via POS, and can be found on the customer’s receipt.

To process the Return and Refund:

  1. From the POS dashboard, click the Transactions button to display the list of existing transactions.

  2. Select the invoice from the list and click Return. The Invoice details will be displayed in the Transaction Tape.

  3. Click the Complete button to display the Payment Option box and select the Credit Card option.

  4. From the credit card form, fill out the necessary details in the Return form. From the sales transaction receipt, take note of the Reference Number and enter it on the Card Reference # field to confirm the right credit card transaction for the Item Return/Refund.

    Entering the correct Card Reference Number allows the POS user to go through with the transaction; otherwise, the Return will not be completed. A dialog box will prompt, advising the user to enter the correct Reference Number.

  5. Click Save to complete the Return process.

  6. A print preview of the Refund and Credit Memo receipts will display, confirming the Item Return transaction has been made to the customer.

    For cross reference, web store owners may check the return/refund transaction from the backend by going to Customer module > Customer Refund > Customer Refund History tab.
